Gym + fitness.
Automated.

A member who hasn't checked in for 21 days is probably already mentally cancelled. They're paying, not coming, and feeling guilty about both. Before they call to cancel, there's a window -- usually days 14-28 -- where a genuine check-in from the gym ('Hey, we noticed you haven't been in lately -- everything good?') reactivates 20-30% of at-risk members. Most gyms only find out a member is gone when the cancellation request comes in. By then the decision is made. SYNTAX builds the at-risk detection and intervention that happens before the cancellation call.

What's eating your membership retention and recurring revenue

Gym profitability lives in membership retention. Every cancellation is a revenue loss plus an acquisition cost to replace. The gyms with the best retention are the ones who intervene before members make the decision to leave.

At-Risk Member Detection

A member who checked in every 3 days for 8 weeks and then hasn't been in for 21 days is at high risk of cancellation. They're paying, not engaging, and the cognitive dissonance is building toward a cancellation call. A check-in text at day 14 -- 'We've missed you -- is everything okay?' -- is not sales. It's a genuine touchpoint that opens the door to a conversation about whatever got in the way. Members who get that text cancel at 30-40% the rate of members who don't.

Cancellation Interception Before the Call

A member who calls to cancel has already made the decision. The gym staff who take the call have a 15-20% save rate at best under normal circumstances. A member who gets a retention offer before they make the call -- at the first sign of disengagement -- is far more likely to stay. A pause option, a membership freeze, or a downgrade offer at the right moment converts a cancellation into a retained member at a fraction of the acquisition cost of a new member.

New Member Onboarding and 90-Day Retention

50% of gym cancellations happen in the first 90 days. New members who don't feel connected to the gym, don't know how to use the equipment, and haven't achieved a visible result are the most likely to quit. A structured 90-day onboarding sequence -- welcome text at day 1, first class invite at day 3, check-in at day 14, first 30 days milestone at day 30 -- keeps new members engaged through the window where most quit.

Personal Training and Add-On Revenue Upsell

A gym member who has been attending consistently for 60 days and never booked a personal training session is a warm prospect for a PT intro offer. They're committed enough to show up, but they may have hit a plateau or need direction on what to do next. A PT intro offer sent at day 60 -- 'You've been killing it -- want a free 30-minute session with one of our trainers to set a new goal?' -- converts at 20-30% and generates ongoing PT revenue from members who would never have booked on their own.

Implementations for every
size of operation

The problems are the same at every scale. The build is different. Here is what SYNTAX deploys depending on where your operation is right now.

Under 200 members
You're coaching, managing, and billing. SYNTAX tracks member check-in frequency, sends at-risk alerts, and runs the 90-day new member onboarding automatically.

You're managing staff and programs alongside membership. SYNTAX runs the full retention system: at-risk detection, cancellation interception, new member onboarding, and add-on upsell at behavioral triggers.

Multi-Location

At this scale the net member growth rate and per-location retention metrics are the business. Which locations have the highest 90-day cancellation rate? Which membership tiers have the lowest retention? SYNTAX builds the data layer.

We built these systems
because we needed them first.

SYNTAX came out of Phase III Construction -- a service business running 5-12 simultaneous jobs across SE Michigan since 1993. The problems are universal: missed leads, slow collections, clients who fall out of the communication cycle, and recurring revenue that exists on paper but never gets captured. We built these systems because we were the ones bleeding time and margin without them. The same systems that fixed our operation are what we deploy for yours.
