Frequently Asked Questions

Everything you need to know before reaching out.

Getting Started
How fast can you deploy something?

Your first automation is live within 48 hours of kickoff. That is not a soft estimate -- it is how we operate. After we agree on scope, we move immediately. Within 48 hours, a working automation is deployed and running in your environment.

What that looks like depends on the engagement. For a Starter build, it typically means your highest-value workflow -- lead intake, follow-up, dispatch coordination, whatever is costing the most time right now -- is live and processing real work. For larger, multi-department builds, we deploy in phases: something real goes live in the first 48 hours, then we build out the full system from there. You never wait weeks for the first result.

What industries do you work with?

We work across industries including professional services, construction and field operations, healthcare administration, retail and e-commerce, logistics, real estate, and B2B services. If your business runs on repeatable processes, there is almost certainly something we can automate.

We care more about how your operation is structured than what industry it is in.

Do I need a technical background to work with you?

No. That is exactly who we built this for. You do not need to understand how the system works under the hood to benefit from it. We handle all the technical work, document everything in plain language, and build systems your team interacts with through tools they already use -- email, forms, Slack, spreadsheets, whatever fits your workflow.

You describe the problem. We handle the rest.

What does the process look like after I reach out?

After you book an assessment and we agree to move forward, we kick off with a structured discovery session -- usually 60 to 90 minutes -- where we map your current workflows, identify the highest-value automation targets, and confirm access to the systems we will be working with.

Within 48 hours of that session, you will have a written scope document covering exactly what we are building and what we need from your side to stay on track. Then we build. Your first automation is live within 48 hours of kickoff.

Pricing and Commitment
What does it cost?

We offer three engagement tiers:

Starter -- $750 setup + $497/month. Designed for small businesses or solo operators who need one or two high-value automations maintained and supported.

Growth -- $1,250 setup + $997/month. A more active engagement for growing businesses that want ongoing build work, integrations, and system expansion.

Scale -- Custom. A tailored arrangement for larger organizations with complex needs or significant scope.

All engagements begin with a discovery call so we can recommend the right fit before you commit to anything.

Am I locked into a long-term contract?

No. Monthly retainers renew automatically but can be cancelled with 30 days written notice. There are no multi-year commitments, no cancellation fees, and no penalties for leaving.

We want to keep your business because the work is delivering value -- not because you are locked in.

Is this worth it for a small business or solo operator?

Yes. Some of the clearest wins we deliver are for small businesses and solo operators, because a single well-built automation can recover 10 or more hours per week that were previously spent on manual, repetitive work. The Starter tier exists specifically for this.

A one-person operation with the right systems in place can run with the efficiency of a much larger team.

How do I know if the ROI is actually there?

The clearest measure is time: how many hours per week does your team spend on tasks that could be handled automatically, and what is that time worth? Most clients recover the cost of their engagement within the first 60 to 90 days just from time savings.

Beyond that, the compounding benefits include faster response times, fewer errors, better follow-through, and the ability to take on more volume without adding headcount. During the assessment, we will do this math together with your actual numbers before you spend a dollar.

The Build
How is this different from off-the-shelf automation tools?

Off-the-shelf platforms are built around generic use cases and force you to adapt your operations to fit the tool. SYNTAX builds around how your business actually runs.

We integrate AI reasoning into your workflows -- so instead of just moving data from one place to another, your system can evaluate, prioritize, draft, flag, and decide. The result behaves more like a trained operator than a rule-based connector. You also own it outright, which means no vendor lock-in.

What kinds of tasks can actually be automated?

The most common categories we work with include lead intake and qualification, client communication and follow-up, report and document generation, scheduling and dispatch coordination, data entry and cross-system syncing, internal triage and routing, and proposal or estimate drafting.

If a task requires someone to look at information and do something predictable with it, there is a strong chance it can be automated or significantly accelerated.

Is it custom-built or a template?

Custom-built for your environment. We use proven architectural patterns under the hood -- the same way a builder uses standard framing techniques -- but everything we deliver is built for your specific systems, your data, and your team's actual workflow. You will never receive a generic template and be asked to make it work.

The discovery process at the start of every engagement exists specifically so we understand your operation before we write a single line of code.

Will it integrate with the software I already use?

Almost certainly yes. We regularly integrate with CRMs, email platforms, project management tools, scheduling systems, cloud storage, accounting software, and industry-specific platforms. If the software has an API -- which most modern tools do -- we can connect to it.

If it does not, there are often other integration paths such as email parsing, form webhooks, or file-based syncing. We will confirm compatibility during discovery before any work begins.

Common Concerns
Will this replace my employees?

Not typically -- and that is not how most clients use it. The work we automate is the work nobody actually wants to be doing: data entry, follow-up emails, scheduling reminders, report formatting, lead routing. The people on your team get their time back and can focus on the work that actually requires a human.

The most common outcome is that a two-person office starts operating like a four-person office. If someone on your team is spending 20 hours a week on admin, that person becomes available for higher-value work -- not replaced by it.

What if my team resists using new technology?

This is one of the most common concerns we hear, and it is a real one. We address it by building systems that work alongside what your team already does -- not in place of it. Your staff does not need to learn a new platform, change their workflow, or interact with the system in any unfamiliar way. In most cases, the automation is invisible to them: things just start happening faster and more reliably.

When there is a user-facing component -- a dashboard, a form, a notification -- we involve the people who will actually use it during the build phase so it fits how they work, not how we think they should work.

How is this different from hiring a virtual assistant?

A virtual assistant is a person -- which means they work set hours, have a learning curve, make judgment calls inconsistently, and cost more as your volume grows. AI automation runs 24 hours a day, processes as much volume as you throw at it, and applies the same logic every single time without fatigue, distraction, or turnover.

The honest answer is that they serve different purposes. A VA is better for tasks that genuinely require human judgment, nuance, or relationship management. AI is better for tasks that are predictable, repetitive, or time-sensitive. Most businesses benefit from having both -- and the right automation frees up a human to do the work that actually requires a person.

Do we have to restructure our operations to make this work?

No. We build around how your business operates today -- not a theoretical version of it. If your team uses certain software, communicates in certain ways, or follows a workflow that has been working for years, we fit into that. We are not asking you to restructure operations so a tool can work.

That said, the discovery process sometimes surfaces inefficiencies worth cleaning up. When that happens, we flag it and let you decide. Nothing changes without your direction.

Can we start small and expand later?

You can absolutely start with one workflow. The Starter tier is built for exactly this -- one or two high-value automations, deployed and maintained. Most clients start focused: fix the thing that is costing the most time or money right now, prove the ROI, then expand from there.

We also build with expansion in mind, which means the systems we deploy are designed to connect and grow rather than become isolated dead ends.

What happens when the AI makes a mistake?

AI systems make errors, and we build for that reality rather than pretending otherwise. Every automation we deploy includes review checkpoints, human override paths, and logging so errors are visible and correctable. For tasks where a mistake has real consequences -- a client-facing message, a financial transaction, a scheduling conflict -- we build in a review step before anything executes.

We also monitor active systems and respond to issues. If something starts behaving unexpectedly, we catch it before it becomes a problem. No automated system is flawless, but a well-built one fails in ways that are recoverable -- and we design with that in mind from day one.

Industry Questions
Does this work for field service businesses?

Yes -- and field service operations are one of the strongest fits for automation because the coordination overhead is so high. Dispatch scheduling, job status updates, customer confirmations, follow-up after a completed job, review requests, estimate tracking -- all of it can be systematized so your office runs without becoming the bottleneck between your crew and the customer.

We work with ServiceTitan, Housecall Pro, Jobber, and similar platforms. If you are running spreadsheets and email, we can build the infrastructure around that too.

What about restaurants and food service?

The highest-impact workflows for restaurant operations tend to be reservation management and no-show prevention, slow-period fill campaigns, post-dining review requests, and vendor or order coordination. These are all areas where the process is clear and the manual execution is pulling time away from the floor.

We integrate with Toast, OpenTable, Square, and most modern restaurant management platforms. We can also build lightweight custom tools -- an inventory tracking app, a shift-change communication system -- if your operation has a need that existing software does not handle well.

What about professional services -- legal, accounting, consulting?

The biggest wins in professional services are almost always in intake and lead follow-up, client onboarding, document generation, and billing or time-tracking workflows. A solo practitioner or small firm that loses a potential client because a follow-up email was never sent -- or spends 45 minutes building a routine document that could be auto-drafted in 90 seconds -- is the exact problem we solve.

We work within the confidentiality requirements of your profession. All systems are built with appropriate data boundaries, and we sign NDAs as a standard part of engagement.

What about health, wellness, and fitness businesses?

Appointment reminders and no-show reduction are some of the most straightforward wins we deliver for health and wellness businesses. Automated confirmation sequences, 24-hour reminders with a one-tap reschedule option, and re-engagement flows for lapsed clients can recover a meaningful percentage of your weekly revenue without any additional staff time.

On the membership side, we can build renewal campaigns, lapsed-member win-back sequences, and intake workflows for new clients. If you use Mindbody, Vagaro, Jane App, or a similar platform, we integrate directly with those systems.

What if my business is seasonal?

Yes. We can scope engagements that scale with your season, and retainer clients can request pauses or reduced scope during documented slow periods. This is handled at the account level -- just let us know and we will work out the arrangement. We would rather keep a client relationship flexible than lose it because your business has natural cycles.

Are there industries you will not work with?

We do not work with businesses that use automation for deceptive practices, unsolicited mass outreach, or anything that would mislead customers. Outside of that, we evaluate every engagement on its merits. We have worked across a wide range of industries -- from skilled trades and food service to legal, financial services, and e-commerce -- and we are generally more interested in the quality of the problem than the industry label attached to it.

If you are not sure whether your business is a fit, the assessment call is the right place to find out. There is no cost and no obligation.

Security and Support
How do you handle my business data?

We do not store your operational data beyond what is necessary to build and maintain your system. Any data accessed during the build is handled carefully and removed when it is no longer needed. We do not sell or share client data with any third party.

Confidentiality agreements are a standard part of every engagement. For details on how information submitted through this website is handled, see our Privacy Policy.

What happens after the build is done?

All active retainer clients receive ongoing support, which includes monitoring, fixes, and adjustments as your workflow evolves or external systems change. If an API updates, a connected tool changes its behavior, or your process shifts, we handle it.

For project-based clients who are not on a retainer, we offer a maintenance package or can scope a dedicated update engagement when needed.
